A school experience planning checklist

The useful questions and practical details to gather before your first programme conversation.

Begin with a learning objective

What should learners practise, discover or understand more clearly? Identify the grade group, classroom connections and the kind of reflection that would be useful afterwards.

Gather the essentials

  • School name and the main contact person
  • Grade group and approximate learner numbers
  • Programme category or learning interests
  • Preferred date and an alternative
  • One-day or overnight preference
  • Transport discussion requirements

Allow enough time

The recommended minimum lead time is 2–3 weeks for a one-day programme and 4–6 weeks for an overnight programme.

Review the outline before confirming

EduWay provides a programme outline and schedule before a deposit is required. Review timing, programme suitability, final pricing and transport arrangements with the relevant school decision-makers.

Prepare the school documentation

Use the admin pack to organise parent communication, consent documentation and learner information. Arrange a suitable sharing method for medical information and emergency contacts with the coordinator.

Plan the return to class

Decide how teachers will reconnect the experience to learning. Programme summaries, teacher notes, reflection worksheets and follow-up discussion tools are available on request.
